The Municipal Corporation (MC) of Ludhiana has purchased 54 storage compactors for installation in its record rooms across all four zones, aiming to improve the safety and preservation of official documents. The compactors were acquired at a cost of Rs 1.79 crore, which is nearly 36 percent lower than the estimated cost of Rs 2.79 crore.
Addressing missing documents and water damage
The decision comes after several incidents of missing documents came to light. Recently, the MC reported the disappearance of accounts branch records from its old record room near Lakkar bridge. Previous instances of missing files and water leaks causing damage to records have also raised concerns about the civic body's record management system.
Officials stated that the new storage systems will help ensure proper organization and security of files, vouchers, and other important documents. The compactors are designed with capacities ranging from four shelves to 12 shelves, depending on the specific requirements and available space in each record room.
Details of the procurement
The procurement was finalized after a competitive bidding process. The MC managed to achieve a significant cost saving of 36 percent compared to the original estimate. This efficient procurement is expected to provide a high return on investment by safeguarding decades-old records.
Sham Lal Gupta, superintending engineer of the MC, said, “The compactors will help preserve old as well as current records in a systematic manner and reduce chances of damage or misplacement.” He further highlighted that the project will significantly improve the maintenance of official documents.
Scope of records to be stored
Several municipal departments maintain records that go back many years, including property tax files, building records, accounts vouchers, engineering documents, and other administrative files. The compactors will provide additional storage space and protect these documents from dust, moisture, and physical damage.
By improving record management, the MC expects to retrieve files more efficiently, which will enhance public service delivery and reduce delays in processing official work. The initiative is part of a broader effort to modernize the civic body's administrative infrastructure.
